What information should you collect from the customer when preparing an event quote?

Clarify event requests from the start to organize the quote and follow-up process.

The steps in which event type, date, guest count and service options turn from a request form into a quote

A quote starts with the customer’s request

A date and a phone number alone may not be enough to prepare an event quote. A wedding, a company meeting and a graduation event have different needs. Organizing the information you collect from the customer by event type makes the scope of the quote clearer.

In the first stage, get the event type, the date or date range, the estimated number of guests and contact details. Then move on to the venue, menu and service options. Let the customer indicate the areas they have not yet decided on; do not record an uncertain preference as if it were final.

Break services down in detail

The scope of services such as photo and video shooting, decoration, music, technical equipment or transportation can differ. Collecting the customer’s choices as options rather than leaving them only in free text makes comparison easier when preparing the quote.

State in the quote which services are included and which are additional options. Explain clearly which items will be repriced if the hours, the number of guests or the scope change.

Eventix is the CXR app used so that customers can communicate their event needs through templates that belong to the business, and so that the process can be managed from the quote through to payment tracking. Individual and corporate events can be handled with different information fields.

Plan the process after the quote too

Preparing a quote does not mean the reservation is complete. The customer’s approval, the status of the event date in the business calendar, the deposit and the remaining payment are separate steps. At each stage, track which action has been completed and which is still pending.

If several representatives work on requests, make it clear who is following up each one. When a customer asks for changes, make the revised scope visible again so that earlier decisions are not lost.

Separate post-event needs

The quote and reservation process of an event and the collection of photos are different jobs. If you want to collect photos and videos from event guests, Momento can be considered as a separate solution.

A complete request is a starting point that can reduce how often the business has to call the customer again and again. Explore Eventix.
